The Fusion Program Manager is responsible for performing tactical, strategic and administrative tasks for the Regional Vice Presidents in Fusion (Direct to Homes Sales) and other leadership positions as required. Responsibilities include performing various administrative support at the executive level.


Responsibilities

  • Manages executive availability and commitments to ensure clear priorities and optimum use of executive time

  • Effectively organizes, drives and controls virtual and face-to-face meetings such that agenda and action items are clearly understood by participants, and meeting outcomes are productive

  • Successfully complete critical aspects of deliverables with a hands-on approach

  • Prioritize conflicting needs and handle matters expeditiously and proactively

  • Regularly interact with Executive Assistants and Events team located in the Lehi and San Francisco Offices in an effective and productive manner

  • Partner to drive and coordinate different employee engagement opportunities

  • Maintain records, analyze data, and generate reports for Sales leadership team

  • Create and distribute unique offers for approval and send to Sales Reps via DocuSign

  • Manage the onboarding of seasonal referrals and special teams Sales Reps, including background check, I-9 compliance, HIS licensing, administering equity grants and assisting with setting up Schwab accounts. 

  • Timely set up of pre-SRA/SSD system and tool access for new and transferred reps

  • Manage recruiting events presenting and live time onboards and recruiting Stars data including reports and (management/data teams) reports office audits.

  • Update employee records in Workday for promotions, demotions, and transfers. Run weekly status reports of reps pending changes. Assist manager and reps for timely completion of Workday documents.

  • Timely and accurately manage collections efforts to recoup Fusion special offer funds in the event of departure.

  • Assist with office creations ensuring proper locations and management is tagged.

  • Issue referral credits to Sales Reps.

  • Support other departments as needed

  • Perform administrative tasks associated with the budget planning process 

  • Schedule executive appointments and meetings, including coordination of travel and lunches/dinners

  • Calendar maintenance for the RVPs 

  • Answer/Screen/Route telephone calls for RVPs 

  • Prepare and manage expense reports

  • Manage employee intranet pages for including content updates

  • Manage purchase requisitions from start to finish in Oracle

  • Organization, prepare and edit executive presentations

  • Ensure that guests receive a best-in-class impression and experience

  • Manage/coordinate department functions and events, ie All Hands meetings, leadership offsites, etc.

Qualifications

  • Bachelor’s degree preferred

  • Requires a minimum of 5+ years of experience supporting executive level teams; support of sales executives preferred

  • Very strong organizational and computer skills (e.g. MS Word, Excel, and PowerPoint) and/or Google Suite.

  • Excellent interpersonal and communication skills with all levels of an organization from C-Suite to individual contributor;

  • Experience with managing multiple executives and responsibilities

  • Ability to manage multiple projects and priorities;

  • Must be a self-starter with the ability to work effectively in both an autonomous and team centric environment;

  • Must be able to effectively communicate and support leaders in a remote capacity;

  • Ability to collaborate collegially with peers in other companies, divisions or departments as required to ensure effective program/project management, and responsive administrative coordination;

  • Understands and applies program/project management methods and processes to define, plan, cost, resource, track and ensure the accomplishment of targeted goals.

  • Must be able to travel roughly 50% of the time

Physical Demands

  • Ability to perform normal office duties

  • Ability to operate office equipment including computers and determine accuracy of work

  • Ability to interact and participate in meetings
